Send from an alternate email address in Outlook

By default, the From field will not be displayed when you compose a message. To display the From field click on the Options tab and select From in the Show Fields section. Now the From field will be displayed when composing a message in the future.

When composing a message click on the From in the drop-down box and select Other E-Mail Address.

Select other email address

 

Either type in the email address or click From and find it within the global address book. Then click OK.

Choose address then click OK

The next time you compose a message the Alternate Email Address will be available from the From Drop Down Box.

Configuring email on Android

Due to the varying software installed on each generation of device, the instructions may vary slightly between models.

Open the email application on the phone.

If no accounts are setup on the phone, the device should ask you for an account type.

If Office 365 is a choice, select that. If asked for your email address, type in your full Penn State address (e.g. abc1234@psu.edu). You should be redirected to the Penn State WebAccess login. This should complete the process.

Configuring email on iOS (iPhone/iPad)

Since moving to Office 365 at Penn State, setting up email on any Apple mobile device is easier than ever.

Open Settings on iPhone/iPad

Tap Accounts & Passwords

Tap Add Account

Tap Exchange

Enter the following information on the Exchange Screen:

  • Email: [Your full email address abc123@psu.edu]
  • Description: Anything you wish to identify this account (ex. PSU O365)

Sign into Penn State WebAccess.

Tap Save

Accounts Save

You will now see your Mail/Contacts/Calendars start to import. This process may take a few minutes to complete.

How can I locate an Athletics employee?

The Global Address List within Outlook contains every employee in Athletics that has an email account and office phone number. To access the Global Address List, click the To: field on your email message. The Global Address List appears and allows you to search for the employee. The Global Address List automatically updates every 24 hours.

You may also view the Athletics Employee Directory located here at GoPsuSports​.

To search all of Penn State, use the search box at https://www.psu.edu

Sharing your calendar with someone else

Calendars may be shared between coworkers through permissions. Permissions are granted by the calendar’s owner. To share a calendar in Outlook with a coworker, do the following:

Right click the calendar you wish to share and choose Share Calendar….

Select Permissions.

Add the user who you wish to share the calendar with.

Change their permission level to grant them appropriate permissions.Publishing Editor, for instance, will be given full access to your calendar while Author can only edit events they have created. DO NOT assign the role of Owner to your calendar.

Select OK until you return to the calendar.​

The recipient will need to open your calendar manually.

I received a suspicious email. How can I tell if it’s legitimate?

Phishing scams, or fraudulent emails attempting to harvest your personal information, have been around practically since the inception of the internet, and they will not go away any time soon. Fortunately, there are ways to avoid becoming a victim yourself. Here are some basic guidelines in keeping yourself safe:

  • Neither Penn State nor Athletics IT will ask for personal information, such as user name and password via email. 
  • Keep Informed About Phishing Techniques – New phishing scams are being developed all the time. Without staying on top of these new phishing techniques, you could inadvertently fall prey to one. Keep your eyes peeled for news about new phishing scams. By finding out about them as early as possible, you will be at much lower risk of getting snared by one.
  • Think Before You Click! – It’s fine to click on links when you’re on trusted sites. Clicking on links that appear in random emails and instant messages, however, isn’t such a smart move. Hover over links that you are unsure of before clicking on them. Do they lead where they are supposed to lead? A phishing email may claim to be from a legitimate company and when you click the link to the website, it may look exactly like the real website. When in doubt, go directly to the source rather than clicking a potentially dangerous link. Call the sender to verify that the email is legitimate before replying.
  • Verify a Site’s Security – It’s natural to be a little wary about supplying sensitive financial information online. As long as you are on a secure website, however, you shouldn’t run into any trouble. Before submitting any information, make sure the site’s URL begins with “https” and there should be a closed lock icon near the address bar. If you get a message stating a certain website may contain malicious files, do not open the website. Never download files from suspicious emails or websites.
  • Check Your Online Accounts Regularly – Get into the habit of changing your passwords regularly. To prevent bank phishing and credit card phishing scams, you should personally check your statements regularly. Get monthly statements for your financial accounts and check each and every entry carefully to ensure no fraudulent transactions have been made without your knowledge.
  • Keep Your Browser Up to Date – Security patches are released for popular browsers all the time. They are released in response to the security loopholes that phishers and other hackers inevitably discover and exploit. The minute an update is available, download and install it on your personal machines. Athletics IT will update browsers centrally for you in your office environments.
  • Be Wary of Pop-Ups – Pop-up windows often masquerade as legitimate components of a website. All too often, though, they are phishing attempts. Many popular browsers allow you to block pop-ups; you can allow them on a case-by-case basis.
  • Never Give Out Personal Information – As a general rule, you should never share personal or financially sensitive information over the internet. When in doubt, go visit the main website of the company in question, get their number and give them a call. Most of the phishing emails will direct you to pages that may look identical to the website in which you’re familiar where entries for financial or personal information are being requested. Never send an email with sensitive information to anyone.

Athletics Conference Rooms

The following conference rooms are available for reservations from within your Oulook client. If you do not have access to Outlook, or if you are having trouble reserving the conference room, please contact the listed staff member for manual reservations.

Outlook
​From within Outlook, click the calendar icon in the lower left to view your calendar.

Click Open Calendar, then From Room List.

Locate the appropriate conference room and double-click it to add it to the ‘Rooms’ field and click OK when done.

Browse the room for open times for which you’d like to reserve the room.

From within Outlook, click “New Meeting” and invite your attendees.

Under the Location field, click Rooms, find the room you’d like, double-click it, then click OK to add the room to the meeting.

Click Send when ready. The room delegate (listed below) will receive the invitation who will approve or deny the request. If approved, you will receive an approved email. If you do not receive this email, do not assume the room has been reserved for you.

Mac Outlook Clients
If using Outlook on a Mac, you will be required to contact the room delgate to reserve the room for you. Use the list below to do so.
