Zoom Best Practices

The University has provided guidance to all faculty and instructors on how to handle disruptions in remote classes at remoteteaching.psu.edu.

In addition, IT Learning and Development and Teaching and Learning with Technology have created a knowledge base article to help instructors and meeting hosts protect the privacy of their Zoom sessions and minimize the potential for “Zoom-bombing.” Below are some of the tools and options available to meeting hosts to minimize the potential for disruptions in Zoom, including:

Add a password: All users will require a password to enter the meeting.

Schedule meetings: Allow Zoom to create automatically generated meeting IDs instead of using a personal meeting ID for large or public meetings. Keep the meeting ID and/or password private.

Join before host: Deselect so the meeting will not launch until the host enters the meeting.

Waiting room: Select to require participants to enter a waiting room and admit individually or admit all.

Allow only authenticated users to join meetings: Select so only users with Penn State email addresses can join.

Lock the meeting: When a meeting is locked, no new participants can join, even if they have the meeting ID and password. Select with careful consideration as participants cannot enter late or re-enter after being disconnected due to a technical issue.

Screen sharing: Select “Host Only” to prevent participants from sharing their screen. If screen sharing is enabled, the host also controls participant’s access to:

Annotation: Deselect to prevent participants from annotating on shared screens.

Whiteboard: Deselect to prevent participants from sharing their whiteboard.

Virtual background: Deselect to prevent users from replacing their background with an image

Chat: Deselect so participants cannot send a message visible to all participants.

Mute all participants: Silence all microphones at once.

Put attendee on hold: This feature allows hosts to temporarily remove an attendee from a meeting.

Mobile Devices – Accessing Online Content

Remote Desktop Access via RealVNC

Navigate to https://www.realvnc.com/en/

Click Sign in (top right corner)

Create a VNC account with your Penn State email address

Navigate to https://www.realvnc.com/en/connect/download/viewer/

Select your Operating System and Download VNC Viewer

Run the installer

Click on your Athletics machine name in the application window

Enter your Penn State username and Athletics Password in the box when prompted (or WebAccess credentials if your computer has been EAD-migrated.)

Click Ok and you are now connected to your Athletics Desktop.

Accessing the U: and W: Drives on a Mac

The method of accessing the U: and W: drives on a Mac are slightly different that on a Windows PC. Follow the steps below to access your files.

Accessing U: drive:

​Click on Go, then Connect to Server…

3. In the Server Address field type: smb://ad.psu.edu/i1/UsersEAD/xyz123 (where xyz123 is your user ID). Pressing the ‘+’ button will save the address for quicker access in the future.

Accessing the W: drive:

Start by clicking on the desktop to activate the Finder menu.

Click Go, then Connect to Server…

In the Server Address field type: smb://ad.psu.edu/i1/Shared

This will open a list of all department shares. You will only have access to the shares you use.

Pressing the ‘+’ button will save the address for quicker access in the future.

​​​​Taking a screenshot on your Mac

How to take a screenshot of your entire screen:

Press Shift-Command (⌘)-3.

The screenshot will be saved as a .png file on your desktop.

How to take a screenshot of a selected portion of your screen:

Press Shift-Command (⌘) -4. The pointer will change to a crosshair. Use the crosshair to select the area of the screen you want to capture.

When you have selected the area you want to capture, release the mouse or trackpad button. If you need to cancel, press the Esc (escape) key before releasing the button.

The screenshot will be saved a .png file on your desktop.

How to take a screenshot of a window:

Press Shift-Command (⌘) -4. The pointer will change to a crosshair.

Press the space bar. This will change the crosshair to a camera.

Move the camera over the window you want to capture to highlight it.

With the window highlighted, click your mouse or trackpad. If you need to cancel, press the Esc (escape) key before releasing the button.

The screenshot will be saved as a .png on your desktop.

More information about screenshots:

Screenshots are saved as .png files on your desktop (OS X 10.6 and later). When saved, they are names “Screen Shot date at time.png”.

If you want to save your screenshot to the Clipboard, instead of the desktop, add the Control key to the combinations that were used above. Example: Control-Shift-Command (⌘) -3.

Some apps do not allow you to take screenshots of their windows, such as DVD Player.

​​​​Adding Calendars to Mac Calendar App

Microsoft Outlook for Macs does not allow subscription calendars to be added. To add one, use Apple’s Calendar app.

Adding PSU events calendar(s)

​Navigate to GoPSUSports.com>Schedules>Downloadable Schedules​ to find the events schedules (or click the link).

Pick a sport, or for all sports, use ‘All Events’.

Under ‘Sync Calendar With:’, click ‘Apple’ and allow it to use Calendar.

This will bring up the Calendar app with the Calendar URL. Click Subscribe.

You may choose whatever settings you want. The recommended settings are below:

Adding Shared Outlook Calendars

If you wish to view a calendar that was shared with you, follow these instructions.

Open Outlook and click the calendar icon on the lower left.

Click on ​’Open Shared Calendar’ on the toolbar.

You will now be able to search for rooms to add to your calendar.

Adding Printers to your Mac

Connecting to PSU Wireless

Beginning June, 2025, Penn State is broadcasting “eduroam” across campus for staff & student access. Athletics-issued laptops will have this preconfigured for use at that time.

For personal devices, you can install this on your own using the following instructions.

  • ​Navigate to wireless.psu.edu​ and it will detect your device type.
  • Download and install the profile or software.
  • You should now be able to access the eduroam network using your Penn State credentials.
